Our mission is to strengthen and support incredible stories through exceptional music supervision. /ppRole Description /ppThis is a full-time on-site role located in Amsterdam for a Music Rights Administration Assistant. In this role, you will be primarily responsible for supporting the legal, administrative, and rights management aspects of music supervision projects. You will assist the company and its clients (producers, directors, post producers) by coordinating licensing processes, ensuring compliance with copyright obligations, preparing agreements and paperwork, and maintaining accurate records of all music assets and contracts. /ppKEY DUTIES /ppLegal Licensing Administration /pulliPrepare, issue, and track music licensing, composer agreements, cue sheets, and related documentation. /liliIdentify and confirm rights ownership (labels, publishers, collecting societies) for all music used. /liliLiaise with copyright holders and negotiate licensing terms in consultation with the Music Supervisor. /liliMaintain accurate records of clearances, contracts, and usage rights in internal databases. /liliMonitor deadlines and ensure all licensing obligations are fulfilled prior to delivery. /li /ulpAdministrative Support /pulliSchedule and coordinate meetings with clients, rights holders, and legal representatives. /liliOrganize, label, and archive all music assets (WAVs, stems, reference materials, cue sheets). /liliManage incoming and outgoing correspondence related to licensing, legal inquiries, and rights issues. /liliTrack budgets, invoices, and payments relating to music licenses and production costs. /li /ulpResearch Compliance /pulliConduct detailed copyright research (including public domain status, splits, and territory rights). /liliCompile reference lists of pre-cleared or public domain repertoire in categories (folk, Christmas, blues, Dutch repertoire). /liliVerify compliance with applicable copyright law and licensing frameworks. /li /ulpCommunication Marketing Coordination /pulliDraft professional correspondence to artists, managers, publishers, and collecting societies. /liliAssist in preparing communication materials and updates about music usage for stakeholders and media contacts. /liliUpdate and maintain contact databases (artists, rights holders, legal representatives, media). /li /ulpAdditional Tasks /pulliPrepare asset delivery packages for productions (music files, cue sheets, licensing documentation). /liliAs a small team, we all do tasks outside of our scope to help one another. These tasks could also include organising lunch and general maintenance of the office as well as assist in gathering, organising and writing materials for promotional activities and social media updates as needed. /li /ulpKey Skills Experience /pulliStrong understanding of copyright law, music licensing structures, and rights management. /liliExcellent administrative and organisational abilities with acute attention to detail. /liliClear, professional communication skills in both written and spoken English and Dutch (another language is a plus). /liliComfortable handling confidential agreements and sensitive rights information. /liliProficiency in spreadsheets, contract templates, and project management tools. You must love excel. /liliExperience working in a legal, music publishing, or licensing context strongly preferred. /liliCapable of working independently and managing multiple concurrent priorities. /liliFamiliarity with music production processes and musical terminology is an advantage. /liliPrior experience as an administrative or legal assistant is beneficial. /li /ulpEXAMPLE TASKS /pulliDrafting and tracking licensing agreements and correspondence. /liliResearching rights ownership and confirming splits. /liliMaintaining updated records of clearances and contracts. /liliOrganising WAVs, clips, and licensing paperwork. /liliCompiling lists /liliCoordinating legal and licensing inquiries. /liliPreparing delivery materials and supporting compliance audits. /li /ul
